NYC Event Sound Rental Planning Checklist

A useful sound rental inquiry gives the production team enough information to plan the event. Before requesting a quote, gather the details below. Clear information at the beginning helps identify the right equipment and the services that need to be included.

Event and venue: provide the date, full venue address, indoor or outdoor setting, expected attendance and audience layout. Include a floor plan or photos when available. Explain whether the event involves speech, a DJ, live musicians or a combination. Identify separate areas such as a ceremony, main dance floor, VIP space or backstage monitoring.

Technical requirements: share the DJ or artist rider, player and mixer preferences, microphone needs, input list and any existing venue sound equipment. If you are hiring only part of a system, list what is already installed and who will integrate the rental equipment.

Access and schedule: record the loading location, stairs or elevators, parking restrictions, setup window, sound-check time, doors, performance schedule and breakdown deadline. Do not assume that an equipment rental automatically includes installation or an operator. Ask for those services explicitly.

Power and production: obtain the venue’s power information and coordinate it with sound, lighting, video and other suppliers. The production team should review the actual equipment and available supply. Include any venue rules that affect speaker placement, volume, staging or visual effects.

Quote scope: ask the proposal to define equipment, transport, delivery, setup, tuning, engineering and breakdown. Identify the person responsible for venue coordination and the person authorized to approve scope changes. Model availability and the final configuration should be confirmed for your date.
